Sprocket Success

Sprocket Success is a 4 step program designed to help facilities maintenance departments improve operational and maintenance performance as well as successfully implement Sprocket CMMS:

1) Assess Current Operational Processes & Fit/Gap Analysis

2) Process Reengineering

3) Project Design & Planning

4) Implementation & Continual Process Improvement

Assess Current Operational Processes & Fit/Gap Analysis

The initial step of the Success program is to assess current operational processes. This is held over a two day workshop in which discussions are held with key maintenance personnel as well as key personnel from other departments, such as accounting, that the maintenance department interacts with. This provides a clear picture of current operations and begins to establish a baseline for future improvements to be measured against. The outcome of the site assessment is an overview of current process design and a Fit/Gap Analysis.

The purpose of the Gap Analysis is to respond to three key goals:

1) Obtain a non-biased assessment of facility maintenance operations.

2) To use the results to develop a project plan for future operational and maintenance performance improvements.

3) To identify opportunities for facilities maintenance to increase value while reducing the cost of their services.

Process Reengineering

The second phase of the Sprocket Success program is Process Reengineering. This phase consists of fundamental reconsideration and redesign of operational processes in order to achieve drastic improvements in productivity, customer service, and sustainable cost savings.

Rather than organizing facility operations into shops (Preventive Maintenance, Electrical, HVAC, Accounting, etc) and evaluating their individual processes alone, Upturn Solutions will look at the groups as a whole and evaluate the overall processes for how how they interact with one another in addition to their individual processes. During the Process Reengineering phase Upturn Solutions will rebuild each functional requirement into a series of processes that can be implemented and easily replicated in the future.

Process Reengineering takes place in a 4 step program:

1) Develop upper management vision and process objectives:

This step is to create a vision which implies specific business objectives such as cost reduction, customer service improvements, and performance measurements.

2. Identify the processes to be reengineered:

During this step Upturn Solutions will follow a high impact approach which focuses on the most important processes and those that conflict most with the facilities vision. Those processes that are classified as 'high priority' will be addressed first in the reengineering phase.

3. Evaluate and measure existing or missing processes:

For those processes that are currently in place and have been determined appropriate, an evaluation will be done for level of effectiveness. Upturn will provide you with a document outlining recommended improvements to existing processes. The second part of this step is to determine missing processes that will provide additional value to the facilities department.

4. Design and prototype the new process:

The final step is to design new processes and redesign existing processes to increase the level of effectiveness. The processes are based on higher education facilities best practices as well as an institution's specific requirements. Once implemented, the processes will be evaluated through scenario testing and validation. Each new process will be measured for a Return on Investment, increased customer service, and campus sustainability.

Strategy Design & Planning

Project Design and Planning is the final phase to the Success program prior to implementation.  During this phase, Upturn Solutions will work with you to design the project plan for implementing new or improved processes as well as Sprocket CMMS. Each project plan will follow a specific time grid with reviews and assessments to be conducted throughout the duration of the project. 

Implementation & Continual Process Improvement

Implementation and continual process improvement is where the project plan is put into action and implemented within your organization. A dedicated Success Manager will conduct group meetings once a week for the first 2 months to ensure that deadlines are met and reviews are held. After the first 2 months, meetings will be moved to once per month for the remaining 10 months of the Success Program.

Each Success implementation varies based on the specific needs and requirements of an organization. Services, such as data collection, may or may not be included as part of the program depending on the outcome of the Gap Analysis.
